Information for Participants

ICON Cosplay Phot Fest is a collaborative event that aims to bring together cosplayers and photographers from a wide range of backgrounds and experiences. We hope to foster new working relationships between artists.

We welcome cosplayers of all skill levels, experience, body shape, race, and gender.

As cosplayer attending ICON Cosplay Photo Fest 2024, you will be assigned a minimum of one (1) shoot with a photographer selected at random. Please be aware that not every assigned shoot partner may be your first choice or the kind of photographer you usually shoot with.

This is not a competition: you do not need to wear multiple costumes (although you may choose to do so). Costumes do not need to be hand made.

Please check the event Rules and make sure your planned props and weapons comply.

These assigned photo shoots are a mandatory minimum requirement. After all assigned shoots have been planned and organised, you will be able to organise as many other shoots are you like but you must prioritise these shoots.

If there is a participant that you absolutely cannot work with for any reason, please let the organisers know. We recommend that all participants have a helper who can act as a chaperone as well as help with costuming and styling.

As photographer attending ICON Cosplay Photo Fest 2022, you will be assigned a minimum of two (2) shoots with cosplayers selected at random. Please be aware that not every assigned shoot partner may be your first choice or the kind of cosplayer you usually shoot with.

These assigned photo shoots are a mandatory minimum requirement – After all assigned shoots have been planned and organised, you will be able to organise as many other shoots are you like but you must prioritise these shoots.

If you are registered as a photographer, you are welcome to arrange extra shoots as a cosplayer.

If there is a participant that you absolutely cannot work with for any reason, please let the organisers know. We recommend that all participants have a helper who can act as a chaperone as well as help with lighting and camera equpiment.

  •   Read the Rules carefully before sending in your application to the event. We hold all participants to these rules and consequences can include not being allowed in the event in future, or having registration revoked prior or during the event taking place.

  • Not everyone you work with at the event will be experienced – please be patient with newcomers and treat everyone with respect and patience.

  • Cosplay photography is a different genre to fashion or glamour – it’s very character driven and getting an idea of the character before the shoot is a must. Cosplayers, remember to communicate clearly with to your photographer the mood/personality you are trying to convey. Help your photographer by sharing information about the series/character you are cosplaying.

  • All participants are encouraged to put their own safety first. Bring a chaperon or friend to a shoot – this goes for both cosplayers and photographers. Make sure to include your helpers when organising shoots to make sure that everyone is able to work together. This is also important when organising things like transport.

  • Please do not use realistic military gear or realistic weapons in your photo shoots. ICON Cosplay Photo Fest takes no responsibility for any mishaps involving members of the public mistaking prop weapons for real ones.

  • COMMUNICATE WITH YOUR SHOOT PARTNER. Do not ghost your cosplay partner or photographer. Be courteous. If you are having trouble with scheduling or logistics, let your partner know.

  • Assigned shoots take priority, and those who neglect their assignments will not be invited to participate in future events. Remember, if you don’t contact your assigned partners promptly to organise your shoots, it’s unreasonable to expect to delay arranging alternate shoots. ARRANGE YOUR ASSIGNED SHOOTS FIRST.

  • While ICON Cosplay Photo Shoot are arranging shoot partners as a starting point, we cannot organise anything further for you. It is up to YOU to contact your partners and schedule shoots, find locations, arrange transport, book and pay for accommodation. We strongly recommend contacting people early if you have specific requirements or restrictions.

  • Treat your shoot arrangements like a business email - you will likely be working with people who have not met before. Let people know if you are running behind for a shoot so that they can make alternate arrangements if necessary.

  • Repsect eachother’s names and pronouns - please pay attention to how your shoot partner asks to be addressed.

  • Hobart is a small city but it is very badly designed. Please consider travel times and transport when scheduling your shoots.

  • NO MEANS NO. If a partner declines a location or shoot concept don’t try to coerce them. The point of this event to work with new people and if they are uncomfortable before the shoot even starts, it’s not likely to go well.

  • You are not expected to pay anything (beyond your personal travel and accommodation) in order to take part in the event. However, you are welcome to hire a shoot location (studio, location, venue). Just remember to consult your shoot partner in advance and discuss who will cover any additional payment or cost.

  • All participants (cosplayers, photographers, helpers, chaperones, drivers) are expected to be fully vaccinated (double vaccinated + booster). All participants are encouraged to wear masks during all photo shoots and events, save when a cosplayer is posing during a photo shoot.

ICON Cosplay Photo Fest is a small event in our third year. Please remember to tag us when you post to social media using the hashtags #ICONcosplayphotofest or #ICONcpf so that we can share your images and promote the event and the artists who participate.

We also ask that participants submit their photos for sharing on our website and social media platforms.
